As a matter of good practice and in accordance with the PCCB rules and guidelines we wish to record our standard terms of business on which work is undertaken by us for you.This sheet explains the basis on which our firm will carry out all the necessary work relating to the preparation of the HIP.

The Cost of the HIP
We have provided you with a quotation of our fees to enable us to complete the production of the HIP.

The quotation for our fees relates simply to the preparation of a HIP from the property referred to in the quotation. On occasion, it may be necessary for us to carry out additional work.

We will however discuss this with you should the need arise.

In addition to our standard fees as set out in our attached letter please note the following:
The HIP will remain the property of Independent Solutions until payment has been made in full. Methods of payment include, cash, cheques made payable to Independent Solutions.

Once you have instructed us to commence production of your HIP you will be liable for the full fee referred to in the quotation provided.


Delivery of the HIP
Once the HIP is completed a PDF copy will be sent to your estate agent by email. If you require an additional hard copy of your HIP there will be an additional charge of £10.00 plus VAT.


Deferred Payment
If you have chosen to order your HIP on a deferred basis, payment is to be made at the end of the deferred period (nine months) from the date of instruction. We will only commence production of the HIP once we have a fully completed a Close Payment Services form and once funding has been approved by CPS.


Leasehold Properties
If your property is leasehold we must have a complete PDF copy of your lease. Please note you will incur an additional charge in the event we are required to obtain a copy of the document from the HMLR.


Storage of Papers
After completing the work we are entitled to keep all of your papers and documents. We will keep our file of papers for six years except for any of your personal papers. After this period we reserve the right to destroy your file.


Termination
You may wish to terminate your instructions to us in writing at anytime. We will decide to stop acting for you only with very good reason and upon giving you reasonable notice.


Raising Queries
We are confident that you will receive a high quality service in all respects. However, if you have any queries or concerns about our work, please take them up first of all with a member of our New Business Team. If that does not resolve the problem to your satisfaction or you would prefer to speak to a Manager please contact Julie Powell , our Office Manager or alternatively address your concerns in writing to John Turner.
